Invoicing

Any variation in kilometers driven will be settled with you on 31 December of each year. This enables you to correctly allocate these cost variations in accounting. You will receive the invoice for this on or around 15 January of each year.

Charging station

If you choose to work with a charging station via Arval, you will have to set the reimbursement rate for your employee. The reimbursement rate will be based on a fixed rate per kWh per region. To do this, you can select option 1* which takes into account your employee's place of residence or option 2** wherein the lowest CREG rate is applied per quarter, without taking into account your employee's place of residence.

*You reimburse the electricity consumed according to the maximum amount per kWh, taking into account the region in which your employee lives. These rates are published as an addendum in the Federal Government's circular.
**You can also select to reimburse the electricity consumed without taking into account the place of residence of your employee. In that case, the maximum fixed rate per kWh is equal to the lowest rate applicable in any of the regions for the said quarter. These rates are published as an addendum in the Federal Government's circular.

Fuel

Arval sends the fuel card and PIN code to your driver directly. The first fuel card is included with the vehicle documents upon delivery.

If your driver has a fuel card and is unable to use it, can he/she claim the fuel directly from Arval?

Replacement vehicles

Are your drivers entitled to request and receive a replacement vehicle, outside the scope of the contractual provisions and agreements?

We are convinced that your driver is the most important factor in limiting the costs of his or her vehicle. Hence raising your driver’s awareness is one of the key focus areas within our organisation. We involve your driver in the correct use of his or her vehicle as much as possible. We do so by informing them of every important operational event. This allows us to improve the driving behaviour of your driver and achieve substantial cost savings. As our contact, you will always receive this information as well.

An order confirmation with the estimated delivery date of the vehicle as well as possible changes to the delivery date. These documents do not show any lease prices to your drivers

A notification that the new vehicle is ready and waiting at the dealership for delivery.

A notification for changing summer/winter tyres.

An informative letter stating any maintenance and repairs performed and an indicative price of the repair costs.

A quarterly overview with statistics about the driving behaviour of your driver (fuel consumption, damage report, repairs and maintenance, etc.) and an invitation for the annual technical inspection.

An expiration letter three months prior to expiry of the contract, including instructions on how to return the vehicle correctly.

A vehicle return report after the vehicle has been returned with information on the condition of the vehicle at the end of the contract.

Following the launch of the national Fines Management Services platform, traffic violations (and, at a later stage, parking tickets and offences committed abroad) will now be sent directly to your drivers by the police. This presupposes that Arval receives all driver data and driver modifications promptly and correctly. If the penalty fine cannot be sent through the platform, Arval will be contacted and the driver will be notified through their My Arval account. Administration costs are charged if the fine is still sent via Arval.
